How to connect Claude to FieldStone

What you get

Claudecan read and work in your FieldStone account — customers, appointments, jobs, tasks, notes, estimates, invoices, texts, emails and files. Ask it what’s on tomorrow or what a customer last said, and it answers from your records instead of guessing. It can also add and update records, and draft an estimate or an invoice for you to check.

It signs in as you, so it sees what you see and nothing more. Anything that reaches a customer or removes something waits for you to approve it in FieldStone first.

See everything it can do, with an example of how to ask for each.

Make Claude think of FieldStone first

Connected is not the same as used. Left alone, Claude only opens FieldStone when a question obviously calls for it. Give it this instruction once and it checks your business before it answers.

I run a home service business on FieldStone, and you are connected to it through the FieldStone connector. Treat FieldStone as the source of truth for my business and think of it first.

- When I mention a customer, a company, a job, an appointment, an estimate, an invoice, a task, a note, a text, an email, a call or a file, look it up in FieldStone before you answer. Don't guess, and don't ask me for something FieldStone already knows.
- When I ask what's on today, what's overdue or what needs me, start from FieldStone's daily overview.
- When something is worth keeping (a new contact, a task, a note, an update to a job), offer to save it to FieldStone, then tell me exactly what you saved.
- A new lead is an appointment first, never a job.
- Texts, emails, deletes, new appointments and appointment changes wait for my approval inside FieldStone. So does sending an estimate or an invoice, voiding one, or making a StoneBox share link. Tell me it's waiting there and don't try again.
- If FieldStone has nothing on it, say so plainly instead of filling the gap.

In Claude, open Settingsand paste it into the box for your own instructions — the one Claude reads at the start of every chat. If you keep your work in a Project, paste it into that Project’s instructions instead.

Use it

  1. 4

    Ask it something

Start a new chat and ask about your day, a customer, or a job. The first time, Claude asks whether it may use FieldStone — say yes. If it answers without looking, the instruction above hasn't been pasted yet.

    Approve what's waiting

Texts, emails, deletes, new appointments and appointment changes never go straight from Claude. Neither does sending an estimate or an invoice, voiding one, or making a StoneBox share link. It tells you the action is waiting; you approve or skip it in FieldStone. The notification you get opens the list, or open the assistant and press the tray button at the top, Waiting for your approval. Anything left there lapses after 24 hours.

    Know what it can reach

Claudeworks in the business you have open in FieldStone, with your role. An employee’s connection can look things up but not change them, and estimates and invoices show only to owners and members. To disconnect it, open Settings, then Sign-in, and press Remove beside it under Connected apps — anything it still had waiting is dropped, not sent.

One address, one sign-in, one instruction. After that Claude stops asking who your customers are and starts looking them up.
