How to connect ChatGPT to FieldStone
What you get
ChatGPTcan read and work in your FieldStone account — customers, appointments, jobs, tasks, notes, estimates, invoices, texts, emails and files. Ask it what’s on tomorrow or what a customer last said, and it answers from your records instead of guessing. It can also add and update records, and draft an estimate or an invoice for you to check.
It signs in as you, so it sees what you see and nothing more. Anything that reaches a customer or removes something waits for you to approve it in FieldStone first.
See everything it can do, with an example of how to ask for each.
Connect it
- 1
Copy your connector address
Sign in to FieldStone and open Settings → Claude & ChatGPT. The address is there with a copy button. It lives behind your login rather than on this page.••••••••••••••••Copy - 2
Add FieldStone to ChatGPT
In ChatGPT, click your name at the bottom left, then Settings. Under Integrations, open Plugins and press Browse directory. Press Add, choose Create custom MCP server, name it FieldStone, paste the address as the Server URL, and leave Authentication on OAuth.Custom MCP serverFieldStone••••••••••••••••Create - 3
Sign in and allow
Read the warning at the bottom and create the server. FieldStone opens and asks for your normal login, then shows which business ChatGPT is about to reach. Check the name and press Allow. Back in Settings, FieldStone now shows in the installed list. Set its permission there — Allow low-risk tools lets ChatGPT look things up without asking each time.Allow ChatGPT to use FieldStone?Ridgeline RoofingThe business you have open in FieldStoneAllowCancel
Make ChatGPT think of FieldStone first
Connected is not the same as used. Left alone, ChatGPT only opens FieldStone when a question obviously calls for it. Give it this instruction once and it checks your business before it answers.
I run a home service business on FieldStone, and you are connected to it through the FieldStone connector. Treat FieldStone as the source of truth for my business and think of it first. - When I mention a customer, a company, a job, an appointment, an estimate, an invoice, a task, a note, a text, an email, a call or a file, look it up in FieldStone before you answer. Don't guess, and don't ask me for something FieldStone already knows. - When I ask what's on today, what's overdue or what needs me, start from FieldStone's daily overview. - When something is worth keeping (a new contact, a task, a note, an update to a job), offer to save it to FieldStone, then tell me exactly what you saved. - A new lead is an appointment first, never a job. - Texts, emails, deletes, new appointments and appointment changes wait for my approval inside FieldStone. So does sending an estimate or an invoice, voiding one, or making a StoneBox share link. Tell me it's waiting there and don't try again. - If FieldStone has nothing on it, say so plainly instead of filling the gap.
In ChatGPT, open Settings, then Personalization, and paste it into Custom instructions. If you keep your work in a Project, paste it into that Project’s instructions instead.

Ask it something
Start a new chat and ask about your day, a customer, or a job. The first time, ChatGPT asks whether it may use FieldStone — say yes. If it answers without looking, the instruction above hasn't been pasted yet.Did the Hendersons reply about Thursday?FieldStone - 5
Approve what's waiting
Texts, emails, deletes, new appointments and appointment changes never go straight from ChatGPT. Neither does sending an estimate or an invoice, voiding one, or making a StoneBox share link. It tells you the action is waiting; you approve or skip it in FieldStone. The notification you get opens the list, or open the assistant and press the tray button at the top, Waiting for your approval. Anything left there lapses after 24 hours.Waiting for your approvalSend textChatGPT asked 8 min ago · Lapses in 23 hSendSkip - 6
Know what it can reach
ChatGPTworks in the business you have open in FieldStone, with your role. An employee’s connection can look things up but not change them, and estimates and invoices show only to owners and members. To disconnect it, open Settings, then Sign-in, and press Remove beside it under Connected apps — anything it still had waiting is dropped, not sent.OwnerRead and changeMemberRead and changeEmployeeLook up only
One address, one sign-in, one instruction. After that ChatGPT stops asking who your customers are and starts looking them up.
