How to use StoneBox

What StoneBox is

StoneBox is where your business keeps its files — site photos, plans, permits, signed paperwork. It sits inside FieldStone, so a file can be attached to a job and a customer can be sent a link to it without anything leaving the building.

Everyone on your team sees the same StoneBox; sending links out and deleting are the owner’s to do. You get a gigabyte to start, and a gauge beside the folder trail tells you how much of it is gone.

   Open StoneBox

   Turn it on from Integrations, then open it from My Apps in the sidebar, or go straight to StoneBox.

   Put files in

   Drag files straight onto the page, or press Add to StoneBox. You can drop a whole folder in and its shape is kept — you don’t have to rebuild the tree on this side. The upload keeps going if you leave the page. If a file with the same name is already there, StoneBox asks whether to replace it, keep both or skip it before anything lands.

   Give things names that will still make sense in March

   Every file and folder takes a description and tags. It is two seconds now and it is the difference between finding the roof photos later and scrolling through four hundred thumbnails. If you would rather not, StoneBox can suggest folders, descriptions and tags for you — it always asks before it moves anything.

   Find it again

   Search runs across every file and folder you have — names, descriptions and tags together. Open Filters to sort or narrow by tag, type or date, or switch on All files when you want everything at once instead of a tree to climb.

   Attach files to a job

   StoneBox appears in the My Appsrow on a job. Opened from there it shows only that job’s files, and anything you upload is filed against the job — which is how the photos from a Tuesday callback stay with the callback.

   Send a customer a link

   Pick the files, press Share, and you get a link to a clean gallery with your business name on it. No account, no sign-in on their end. You choose how long the link works — a day, seven days, thirty or ninety — and you can extend it or turn it off later from Shared links.

   Ask for files back

   Open a folder's menu and choose Let people upload, and the link you get is a drop box. The customer or sub can add their own photos, caption them, and tidy them up — but only ever the things that came in through that link. What you already had, they cannot touch.

   Keep an eye on the meter

   The gauge beside the folder trail is your gigabyte. Deleting a file frees the space and takes it out of the list — and out of any link it was shared through. It waits in Recently deleted for seven days in case you want it back.
